Information from forms

When you send an enquiry or quote request, we store the details you provide – for example name, company, email, phone, address/delivery location, message and any attached files – so that we can respond to and handle your enquiry. The information is stored in our own database and is only accessible to authorised staff.

Legal basis: The information is processed so that we can handle your enquiry and take steps at your request prior to a possible contract. Where applicable, we also process it on the basis of our legitimate interest in normal B2B communication and follow-up of the enquiry.

Attached files: Files uploaded in a form but never linked to a submitted enquiry are deleted automatically once they are older than 24 hours, when new files are uploaded.

Partner and customer project registration: Information submitted through the forms for becoming a partner or registering a customer project (for example company, contact persons, project details and message) is stored in our internal partner register and in our enquiry management. The register is only accessible to authorised Medialed staff.

Trade show registration via QR code: At trade shows you can register by scanning a QR code (for example /llb). We then store the answers you select (what you are interested in, intended use, approximate screen size or partner interests), your contact details (company, name, email, phone) and which trade show the registration relates to. The information is added to the same partner register and enquiry management as other enquiries. If you are already registered with the same email address or phone number, the new answers are added to your existing record. The information is used to handle the registration, follow up the interest you have expressed and contact you about the business matter in question. Registering does not constitute consent to general marketing communications.

Legal basis for the customer and partner register and trade show registrations: For existing customers, we process the necessary information to administer and perform contracts and to comply with legal obligations where these apply. For prospective customers, resellers and business partners – including you if you registered at a trade show – we process the information on the basis of our legitimate interest in administering business relationships, following up relevant enquiries and conducting normal B2B sales. Where you have requested contact or a quote yourself, the processing also takes place to take steps at your request prior to a possible contract.

Spam protection in the partner forms: To limit automated and repeated registrations, we store one-way encrypted (hashed) signals of the IP address, email address and browser details. The signals cannot be read in plain text. Signals older than 24 hours are deleted automatically when new registrations are submitted. Legal basis: our legitimate interest in protecting the website, the forms and our systems against spam, abuse, fraud and technical attacks.

Where the visit came from: If you have accepted statistics, we also store information about how you found the website when you send an enquiry – the first and most recent page visited, the referring website and any campaign parameters (UTM) in the address. If you have also accepted marketing, the Google Ads click ID (gclid, gbraid, wbraid) is stored as well. Without consent, we only store which page the form was sent from. This information is used to follow up our enquiries internally.

Hosting: The website and database are operated via the Lovable platform and its cloud service (Lovable Cloud).

Retention: Enquiries, contact details and records in the customer and partner register are kept for as long as they are needed to handle the enquiry, the business relationship or any contractual relationship, or for as long as we are legally required to keep them. Information that is no longer needed is deleted manually by us; no automatic deletion after a fixed period takes place today. You can request deletion of your information at any time.

You can contact us at any time to find out what information we hold about you, or to request correction or deletion.

Cookies and similar storage

We use Google Tag Manager as our central measurement solution. Google Analytics and Google Ads are only activated to the extent you consent to (Google Consent Mode v2). Until you have made a choice, all statistics and marketing storage is switched off.

Essential
Your cookie choice is saved in your browser's local storage (medialed_consent_v1). Sign-in to the customer portal and CMS is saved in local storage for signed-in users. No consent required.
Visit source (first-party cookie)
Our own session cookie (ml_attr) stores where the visit came from: first and most recent page, referring website, time of the first visit and campaign parameters (UTM). It is only set if you have accepted statistics and is removed if you decline or withdraw consent. It is deleted when the browser is closed and is only read by our own server when you send an enquiry. The Google Ads click ID is only stored in it if you have also accepted marketing. Legal basis: consent.
Statistics
Google Analytics 4 (via Google Tag Manager) is used to understand how the website is used, e.g. page views and which buttons are used. Controls the analytics_storage signal. Only activated with consent. Legal basis: consent.
Marketing
Google Ads (via Google Tag Manager) is used to measure the results of our ads, e.g. submitted enquiries. Controls the ad_storage, ad_user_data and ad_personalization signals. Storage and access for ad measurement only take place with consent. Legal basis: consent.

If you decline, the Google tags only send cookieless signals without identifiers, in line with Google Consent Mode. Data processed by Google may be transferred to countries outside the EU/EEA in accordance with Google's terms.
